Biz1 Tools — User Guide (English)
Welcome. This guide explains **Biz1 Tools** for Windows: what it does, how to install it, and how to use each area. The app runs in the **system tray** and connects to your **Biz1** account.
What you need
- **Windows 10** (build 17763) or newer. - **Internet** for Biz1 sync, updates, VoIP, remote control, and notifications. - **Biz1 API token** from Biz1 Settings for full CRM, sync, and phone features. - If Windows asks for **.NET**, follow the prompt or ask IT (included in some self-contained builds).
Installing the app
1. Get the app package from your organization (often a **zip** file). 2. **Unzip** into a folder you can use (for example **Documents** or **Program Files**). 3. Run **`win-tool.exe`**. 4. Find the **Biz1 Tools** icon in the **system tray** (near the clock; click **^** if hidden). 5. **Optional — start with Windows:** Press **Win + R**, type `shell:startup`, press Enter, and add a **shortcut** to `win-tool.exe`.
> If Windows warns about an **unknown publisher**, only continue if you trust your organization’s package.
First-time setup
1. Sign in to **Biz1** in the browser → **Settings** → copy your **API token**. 2. Paste the token into **Biz1 Tools → Settings** and save. 3. Choose **English** or **Hebrew** for the app UI. 4. Configure **SIP** and **WhatsApp** in Settings if your admin provided credentials. 5. The first time you open **Notes**, create a **password** (and optional hint).
Open features from the **tray menu**, the **Home** window, or **keyboard shortcuts** below.
1. Text & writing tools
Transliteration (Ctrl+F1)
- Converts text between **Hebrew and English-style letters** in the current line or selection. - Works inside most Windows apps (editors, chat, email, browsers). - Can adjust keyboard layout after conversion. - Ideal when you typed in the wrong keyboard layout.
Translation (Ctrl+T)
- Sends selected or captured text into your **translation workflow** (typically opens in the browser). - Quick access without leaving your current app.
Copilot assistant (Ctrl+F3)
- Copies your current selection, opens the **Copilot-style helper workflow**, and pastes content for you. - Speeds up AI-assisted writing and editing.
2. Missions — task management (Ctrl+F5)
A full **task list** for daily work, integrated with Biz1 when your API token is configured.
**Task operations**
- Create, edit, and delete missions (tasks). - Mark tasks as done or active. - Drag and drop to **reorder** tasks. - **Sub-missions** for breaking large tasks into steps. - **Mission chat** when your organization uses task-level messaging.
**Organization**
- **Categories** with custom colors. - Assign tasks to **team members**. - Filters: all tasks, active only, or completed. - Views: **my tasks**, **created by me**, or **team** tasks. - **Pagination** for long lists.
**Scheduling & reminders**
- Due **date and time** per task. - Optional **WhatsApp reminders** before due dates (when WhatsApp API is configured in Settings).
**Sync & storage**
- Local storage with automatic save. - **Server sync** with Biz1 when connected (fetch, add, edit, delete, status updates).
3. Notes — secure personal notes (Ctrl+F2)
Private notes on your PC, with optional **Biz1 cloud sync**.
**Security**
- **Password protection** with optional hint. - Encrypted local storage.
**Editing**
- **Multiple notes** as tabs. - **Rich text** notes or **spreadsheet-style tables**. - Right-to-left (RTL) support for Hebrew. - Text highlighting and formatting. - **Undo history** (up to 50 versions per note). - Auto-save after you pause typing.
**Window & convenience**
- Remembers window size and position. - Optional **always on top**. - Drag tabs to reorder.
**Backup & sync**
- Export and import **backup** files. - Sync with Biz1 organization storage when enabled. - Clear **conflict resolution** if computer and server versions differ.
4. Customers — CRM on the desktop
The **Customers** module is a powerful desktop view of your Biz1 customer database.
**Search & filters**
- Filter by name, email, mobile, phone, company ID. - Filter by **folder**, **status**, **tags**, and **internal status**. - Sort and order customers using Biz1 metadata.
**Customer grid**
- Paginated list (25 customers per page). - Dynamic columns based on your folder configuration. - Tag chips, team avatars, follow-up indicators. - Column widths saved locally and can sync with the web CRM.
**Actions per customer** (based on your organization’s settings)
- Open customer profile and details. - Start **customer timer** (billable time). - View or add **entry listings** and **reminders**. - Open **files**, **email compose**, **WhatsApp**. - **Call** via SIP phone. - **Add mission** linked to the customer. - Add or remove **tags** and **folders**. - **Add new customer** via dynamic form from Biz1 schema. - Update customer fields inline; delete when permitted.
5. Phone calls — VoIP / SIP (Ctrl+F4)
Make and receive calls through your **Biz1 SIP line** on Windows.
**Setup**
- SIP credentials can be loaded automatically from Biz1 after you save your API token. - Configure **Biz1 SIP** in your Biz1 user profile for reliable registration.
**Calling**
- **Dial pad** and call controls in the phone window. - **Incoming calls**: match caller number to Biz1 customers and show name/details. - **Outgoing calls**: show customer context when the call is linked to a CRM record. - **Call log**: direction, number, customer name, time, duration, quick links to CRM.
**Click-to-call from Biz1**
- Click a phone number in **Biz1 CRM** → Biz1 Tools dials automatically (`biz1://` protocol). - Example: `biz1://call?phone=%2B919876543210&customer_id=12345`
**Call recordings**
- Recording can start when the call is answered and stop when it ends. - Local storage in a **CallRecordings** folder; play from the Recordings tab. - Upload to Biz1 CRM when linked to a customer (viewable in CRM call history).
6. Remote control (Ctrl+F6)
Secure **remote desktop** for IT support and team collaboration.
**Connection modes**
- **Direct** WebSocket connection for low latency. - **Relay server** when firewalls or NAT block direct access. - **Hybrid** mode with automatic fallback.
**Capabilities**
- Real-time **screen viewing**. - **Mouse** control: click, move, scroll, drag. - **Keyboard** input on the remote PC. - **Clipboard** sync between computers. - **File upload and download** during a session.
**Security**
- **API token** authentication. - **Approval** required before someone can control your PC. - **Team member** permissions—choose who may connect. - Configurable ports and optional **UPnP** port forwarding.
**How to use**
- **Allow access:** Tray → Remote control → Allow → select team member. - **Connect to someone:** Remote control → Start → pick person or enter ID/phone.
7. Time tracking
Start Time
- Start and stop your **work-day timer** from Home or the tray. - Syncs with Biz1 time-counter APIs. - Tray icon feedback (including blink when active). - Can prompt for a note when stopping. - Auto-stops on app exit, Windows shutdown, or sleep.
Customer At Time
- **Per-customer billable timer** from the customer list or dedicated UI. - Pause, resume, and stop with category selection where configured. - Integrated with Biz1 customer time workflows.
8. Chat & messaging
- **In-app chat** window connected to Biz1 messenger. - View **inbox** and conversation threads. - Send messages and use **WhatsApp templates** when enabled. - Attach files to conversations. - Send messages in mission or project context where supported.
9. Files explorer (Ctrl+F7)
- Browse **customer files** stored in Biz1. - Upload and open files from the desktop. - Same entry point as **Home → Files**.
10. Custom Biz1 tabs
- Sidebar tabs loaded from your organization’s **Biz1 tab settings**. - View and edit **custom record grids** per tab. - Inline editing with validation, file columns, customer/team pickers. - Add, update, and delete rows synced with Biz1 APIs.
11. Desktop notifications
- Real-time **desktop toasts** via Firebase WebSocket connection. - Notification types controlled by **Biz1 desktop settings** (per user/org). - Reminder popups for due items and CRM events. - Reduces need to keep the Biz1 web app open for alerts.

13. Settings & configuration
- **Biz1 API token** — connects the app to your account and tenant. - **Language** — English or Hebrew UI. - **WhatsApp API** — instance ID and auth token for mission reminders. - **SIP / VoIP** — phone line and audio preferences. - **Notes password** and hint. - **Notification** toggles from Biz1 desktop settings. - **Remote control** — port, UPnP, team access. - **Window preferences** — positions, column widths, always-on-top for notes.
14. Auto-update
- Checks for a newer version on **startup** (with timeout so launch is not blocked). - Downloads and installs updates when available. - Self-contained deployment option (includes .NET runtime where packaged). - Users stay on supported versions without manual reinstall steps.
15. Security & reliability

Getting started (quick steps)
1. Install **Biz1 Tools** (`win-tool.exe`) from your organization’s package. 2. Run the app and find the icon in the **system tray** (near the clock). 3. Enter your **Biz1 API token** when prompted (Biz1 web → Settings → API token). 4. Choose **language** and configure **SIP** / **WhatsApp** if your admin provided credentials. 5. Open **Home** from the tray to explore Missions, Customers, Notes, Phone, and more. 6. Use **keyboard shortcuts** for the features you use most often.
Click-to-call links (for integrators)
Biz1 Tools registers the **`biz1://`** protocol on Windows so CRM and web pages can start calls:
biz1://call?phone=MOBILE_NUMBER biz1://call?phone=MOBILE_NUMBER&customer_id=CUSTOMER_ID
